Executive Assistant and Project Coordinator

Greenrock Property Management is looking for an Executive Assistant and Project Coordinator to support their Operations Department.   This position is mainly responsible for all administrative duties for the Chief Operating Officer (COO) and will assist with the preparation of RFP's, RFQ's, Board Reports, proposals and presentations, and overall administration.  Duties will also include following up with contractors, preparing correspondence, calendar management, and researching supplier information.

This position, located at Greenrock's main office, is a five minute walk from the Davisville subway.  Working closely with, and in support of, the COO and the VP of Project Management, you will be their key "go to" person and organizer.  This is the job for you if you are looking to learn more about the field of property management, maintenance or construction but are comfortable keeping calendars and completing a variety of administrative tasks daily.

Primary functions for this role include; administration, correspondence and report writing, project management and finance.

We are looking for someone with the following qualifications and attributes:

  • Ideally two or more years' experience within the real estate or construction sector and/ or experience as an Executive Assistant or Project Coordinator.
  • Experience supporting senior executives; takes pride and thrives on supporting others in keeping organized in a fast paced environment with competing priorities and time constraints.
  • Extremely detail orientated.
  • Excellent verbal skills to assist with coordinating projects and working with suppliers, site staff, and trades.
  • Excellent written skills to assist with editing, proposal creation, RFP and RFQ creation.
  • Demonstrated trust and discretion.
  • Strong work ethic and a team player.
  • Proficiency and creativity in MS Office.
  • Experience with Microsoft Project and Yardi Voyager desirable but not required.
  • Comfortable working with numbers and validating spreadsheet calculations.
  • Able to work independently and in a team setting.
  • Commitment to excellence in internal and external customer service.
